AI Use Notice
Last updated
Why we publish this notice
Melora Digital helps organisations adopt AI responsibly, so we think you should know exactly how we use AI ourselves. This notice explains our AI consultant in plain language: what it is, what happens to your information, and where a person steps in.
Please read it before you start a consultation. It works alongside our Privacy Policy and Terms of Use.
What the AI consultant is
The free AI consultation lets you talk or type with an AI persona called Maya or Alex. These are fictional characters, and their portraits are AI-generated images of fictional people. You are always talking to an AI, not a person.
Each email address and each phone number can be used for one free AI consultation within 12 months, and there is a daily limit per internet connection. If you have already used yours, we can offer a paid consultation with a Melora consultant through our contact form.
The consultant asks about your organisation’s goals, challenges and readiness for AI, and may show you slides to guide the discussion. Its job is to help us understand your situation so a Melora consultant can follow up properly.
Each session lasts up to 15 minutes, and you can end it at any time.
What it can do
- Have a structured conversation about AI adoption in your organisation
- Ask follow-up questions and summarise what you’ve told it
- Show slides and illustrative examples to explain ideas
- Capture a follow-up request for our team
What it can’t do
- It can be wrong. AI can produce inaccurate, incomplete or out-of-date information.
- It isn’t advice. It does not give legal, financial, medical, emergency, employment, regulatory, security-incident or safety-critical advice.
- It can’t commit Melora. Nothing it says is a proposal, quote, offer or advice from Melora.
- Its examples are illustrative. They are not a record of work Melora has delivered.
If you need urgent or professional help, please contact an appropriately qualified professional or emergency service.
Please don’t share
Confidential business information, sensitive personal information, government information, identity documents or numbers, passwords or payment details.
How your information flows
No audio or video is recorded or stored by Melora. Here is what happens at each step.
| Step | What’s processed | By whom | Retained? |
|---|---|---|---|
| AI maturity assessment | Your 10 answers, scored in your browser | Your browser only | On your device (local storage), unless you email yourself the report or share your result with a consultation |
| Anonymous scores | Organisation type, main pressure area, overall and dimension scores — no name, email, IP address or other personal information | Melora (hosted by Hostinger) | Yes — kept to build a fair comparison, shown only once enough organisations have taken part |
| Email my report (optional) | Name, organisation, email, consent, optional marketing opt-in, and your assessment result | Melora (hosted by Hostinger); 2-page PDF report emailed to you and a notification to Melora’s owner inbox | Yes — lead record, 24 months after last contact |
| Consultation access form | Name, organisation, email, phone, optional role and country/region, consent; your assessment result only if you leave “share” ticked | Melora (hosted by Hostinger) | Yes — lead record, 24 months after last contact |
| Human check | Technical browser signals; a DNS lookup to check your email domain can receive mail | Cloudflare Turnstile; Melora | Under Cloudflare’s terms; no tracking cookies |
| Fair-use check | Separate one-way keyed hashes of your normalised email and phone number; a daily limit per internet connection | Melora | 12 months, then deleted; cannot be reversed |
| Voice input — supported browsers (e.g. Chrome, Edge, Safari including iPhone) | Your audio | Your browser’s built-in speech service, run by the browser maker (e.g. Google, Microsoft, Apple); Melora receives only the text | Under the browser maker’s terms |
| Voice input — other browsers | Short audio clip of each spoken turn | Speech-to-text model via Surplus Intelligence (USA), routed to third-party sellers | Audio not retained by Melora |
| AI model | Conversation text, after we remove names, emails and phone numbers we can detect | A DeepSeek model (currently deepseek-v3.1) via Surplus Intelligence (USA), routed to third-party sellers (e.g. Amazon Bedrock) in the USA and other countries; a fallback model may be used if the primary is unavailable | Surplus says it does not store request content or use it for training; sellers handle it under their own terms. We prefer sellers that don’t train on API content |
| Consultant voice (if used) | Consultant’s reply text | Text-to-speech model via Surplus Intelligence (ElevenLabs voices on the marketplace); short acknowledgement sounds are pre-generated from fixed phrases | Audio not retained by Melora |
| Transcript & summary | Transcript, structured summary, slides shown, feedback, follow-up request | Melora (hosted by Hostinger) | Yes — 180 days by default |
| Owner PDF | Summary and PDF | Emailed to Melora’s owner inbox for internal review | With the session record |
Our automatic removal of names, emails and phone numbers helps, but it isn’t perfect. The best protection is not to share personal or confidential details in the conversation.

Human review
The AI doesn’t make decisions about you. After your session:
- An internal summary and PDF are created and emailed to Melora’s owner inbox.
- You receive an acknowledgement only — not the AI’s summary or any recommendation.
- A Melora consultant reviews the conversation and aims to respond within five business days.
Only a Melora person can give you a proposal, quote or advice.
Prefer a human?
You don’t have to use the AI consultant. You can talk to a person instead:
- use our contact form
- email Support@meloradigital.com
- call +61 451 423 002.
How Melora uses AI in our own work
We use AI tools to help with research, drafting and analysis in our consulting work. A person always reviews AI outputs before they are shared with clients or used to make recommendations.
We do not enter a client’s confidential information or personal information into AI tools unless:
- the client has agreed in the engagement terms, and
- the tool’s terms prevent that content being used to train models.
Text on this website was drafted with AI assistance and reviewed by a person.
Your choices and rights
- You can end a consultation at any time.
- You can ask us to access, correct or delete your information by emailing Support@meloradigital.com. We aim to respond within 30 days.
- If you have a concern, please contact us first. You can also complain to the Office of the Australian Information Commissioner (OAIC).
Changes to this notice
We’ll update this notice if the way our AI consultant works changes, including if we change AI providers. The date at the top shows when it last changed.
